The small business problem: the phone rings when you cannot answer
In an office with a receptionist there is always someone in front of the phone. In a two-person practice, a craft workshop or a small agency, the person answering is the same person who is busy with something else: with a patient, under a car, on a site visit, at the wheel.
The consequences are well known. The call goes unanswered, the customer leaves no voicemail and calls the next competitor on the list. Or you answer in a rush, interrupting the customer in front of you, and cannot give proper attention to either of them.
An AI voice agent is there to cover exactly these moments: it takes the call, understands what is needed, answers simple questions and leaves you a clear request to call back. It does not replace your relationship with the customer, it moves it to the right moment.
When it pays off, and when you do not need it
Before switching anything on, look at how your calls actually arrive. For two weeks, note how many calls you cannot take, at what times and for what reasons. You can also start from the missed-calls log on your phone or your operator's report. This exercise tells you more than any sales pitch.
An AI voice agent usually pays off if:
- you regularly miss calls during the hours you work with clients
- many calls ask the same three or four questions (hours, address, documents, availability)
- you get calls in the evening or at weekends that currently go nowhere
- every request needs the same details (name, number plate, case number, address)
- you want a first filter between customers, suppliers and sales calls
You probably do not need one if you get few calls a day and nearly always manage to answer, or if every call is a personal consultation the customer only wants to have with you. In these cases a good VoIP voicemail that sends messages by email and a number that rings on several phones are more than enough.
Out-of-hours calls
Out of hours is where an AI voice agent delivers the most, because today nobody answers and hardly anyone leaves a voicemail. Someone calling at 7:30 pm to book or ask for a quote at least wants to know that the request has arrived.
With a PBX, out-of-hours calls are handled by time conditions: you write down your opening hours, breaks and closures once, and the PBX decides on its own what to do. In the time conditions of our partner robottino.ai's virtual PBX you can also set exceptions, such as public holidays that recur every year and closures for the summer break.
A typical out-of-hours flow for a small business:
- A short message says the office is closed and gives the opening hours.
- The AI voice agent asks what is needed and collects name, number and reason.
- If the request falls under a defined emergency, the call goes to the mobile of whoever is on call.
- Otherwise the voice agent confirms the summary and closes; the next morning you find the request by email or in the portal.
What to automate and what to leave to people
The practical rule is simple: automate what is repetitive and verifiable, leave to people what requires judgement, trust or negotiation.
| Task | Automate? | Why |
|---|---|---|
| Hours, address, parking, documents to bring | Yes | Fixed answers, always the same |
| Collecting name, contact details and reason | Yes | Saves everyone time |
| Bookings in a diary with standard slots | Yes, with confirmation | If the diary is connected and the rules are clear |
| Filtering sales calls | Yes | They no longer reach the people working |
| Quotes and custom prices | No | Risk of wrong figures |
| Complaints and unhappy customers | No | A person is needed, straight away |
| Medical, legal or technical opinions | No | Professional liability |
| Cancellations and negotiations | No | That is where the customer relationship is won or lost |
The voice agent must never be a wall: anyone who wants to speak to a person must be able to, or at least be sure they will be called back.
Starting small: three levels
You do not need to configure everything on day one. It is better to go step by step and move to the next level only when the previous one works.
Before anything else: a work number separate from your mobile
Many professionals give customers their personal mobile number. It works while calls are few, but on that number no voice agent can step in: only your phone rings, at any hour. The first step, almost always, is to have a separate work number, landline or mobile, on which you set rules and hours.
A virtual number does exactly that: it is a real number, with your city's area code, that is not tied to a physical line and that you can ring on your mobile, on your computer or on a PBX. When you change your mind about how to handle calls, the number stays the same and only the routing changes. Customers keep calling as before.
Level 1: an AI secretary in front of your phone
If you work alone or with one other person, the first step can be the Vohippo AI secretary, a module in the number's routing. It answers, collects name, contact details, reason and urgency and sends you a card with the summary: you choose «Accept» and the call is put through to you, or «Reject» and the secretary closes with the sentence you have set. Meanwhile the caller waits with music, for a maximum time you set between 30 and 600 seconds.
Behind the secretary you can place the other steps of the call routing modules, for example ringing the office phones and then voicemail. There are no menus, queues or opening hours: for many professionals that is enough.
Level 2: a PBX with voice agent and opening hours
When there are three or four people, or when you want the voice agent to decide on its own where to send the call, you need a virtual PBX. The first things to configure are few: opening hours, the AI voice agent on the main number, ringing the right people, and a message or callback request out of hours.
Level 3: queues, agent panel and analysis
As the number of calls grows, queues, the agent panel for people answering from the browser, and the recording and analysis of conversations come into play. They are useful tools, but in a small business they come later, not first.
An example: a physiotherapy practice with three people
The practice has two physiotherapists and a part-time receptionist who is only there in the mornings. The public number is 02 1234 5678.
- Morning, receptionist present: calls ring at reception; if nobody answers within 20 seconds, the AI voice agent steps in.
- Afternoon, no receptionist: the voice agent answers straight away, gives hours and address, and takes appointment requests with name, phone and preferred time of day.
- Emergencies: a patient with acute pain after a treatment is put through to the mobile of the physiotherapist on duty.
- Evenings and Saturdays: a closing message, then the voice agent takes the request.
- Next morning: the receptionist finds the requests and calls back one by one, with the details already to hand.
The result is that the physiotherapists no longer answer during sessions, and callers always get a response.
What it costs: the items to budget for
The cost of an AI phone system for a small business is made up of a few separate items. It is worth keeping them apart to compare offers.
- The number: with Vohippo an Italian geographic number costs €23.48 a month or €109.83 a year, with inbound calls included. You can search for one among the available virtual numbers.
- Outbound calls and forwarding to mobiles: charged per second according to the rate list, with no connection fee on listed destinations.
- The AI voice agent: usually charged by the minute of conversation. The Vohippo AI secretary has a per-minute cost for conversation, plus the notification SMS if you choose them.
- The PBX: monthly fee and usage according to the provider's offer. For robottino.ai's virtual PBX, the details are on the robottino.ai pricing page.
Remember to count the setup time as well, and the time needed to test the voice agent: a few hours at the start, and half an hour now and then to reread conversations.
Mistakes to avoid when you start
- Switching everything on at once. Menus, queues and voice agent together on the first day make it hard to see what is not working.
- Not telling regular customers. Someone who has called you for years and hears an automated voice may be thrown: a clear opening line helps.
- Forgetting to update the hours. Holidays and public holidays must be entered in advance, not on the day.
- Not rereading conversations. The first few weeks are when problems come to light.
- Leaving the voice agent with no way out. There must always be a way to reach a person or leave contact details.
If you want to try building the first level, you can sign up to the Vohippo portal, choose a number and set up the routing in a few minutes.
Frequently asked questions
Does a freelancer working alone need a PBX?
Often not. A number that rings on your mobile or computer is enough, with an AI secretary or voicemail when you do not answer. A PBX is needed when there are several people to share calls among or complex opening-hour rules.
Do customers mind talking to an automated assistant?
It depends on how it is built. A long menu or an assistant that does not understand and will not let you out is annoying; a brief voice agent that says straight away what it can do and hands over to a person when needed is better accepted than an unanswered call.
Can I use an AI PBX from my mobile too?
Yes. Virtual PBXs work with apps and softphones on mobiles, as well as with desk phones or from the browser. With Vohippo the same SIP account also works in the app for iPhone and Android and in the webphone.
Can the AI voice agent book appointments in my diary?
Some PBXs support it by connecting to online calendars. It works well if the diary has standard slots; if every appointment needs to be assessed, it is better for the voice agent to take the request and for a person to confirm it.
How long does it take to see whether it works?
Two or three weeks of real use are enough to see whether missed calls have gone down and whether the requests collected are usable. Compare the figures with the ones you noted before switching it on.
